OSCAR – Ontario Soccer Club & Academy Registry - Training and Roll out Plan

Ontario Soccer is pleased to confirm that the Member Management Registration System (MMRS), now known under a new sub-brand name “OSCAR”, Ontario Soccer Club & Academy Registry, powered by SportsEngine, is available for use by the full membership. 

The minimal amount of data that has been entered into AIMS for the Outdoor 2019 Season will be transferred to OSCAR.

Training Overview

Training for modern technology systems such as OSCAR, powered by SportsEngine no longer utilize hard copy manuals and scheduled classroom settings as was done in the 1990s. Training guides, videos and webinars/live chat will all be available online to be accessed at the user’s convenience and reviewed as necessary and for as long as necessary for each user.

In addition, OSCAR itself is also very intuitive and it includes immediate in-context help options on every screen and at each step in the process.

There is also the ability for on-line live support on every page during training sessions.

On January 22, 2019, the initial roll out of the new registration system went to DRSA and SWRSA, as the two pilot districts that have completed preliminary testing.

On January 28, 2019, an instructional video addressing imports (uploads) from third party registration systems and sync processes for SportsEngine users will be released to the members of Ontario Soccer.

On January 28, 2019, a full video will be released showing step-by-step processes that include text instructions when Clubs or Academies are working online. This includes each function required to register all participant roles such as players, coaches and administrators.

On January 28,2019, District Administrators will receive instructions and a video to prepare for District tasks. Districts will also have on site additional training at the Ontario Soccer Summit March 1, 2019.

Districts can also have the option to send another delegate to be trained and become a “Super User”. The Super User can then also support the training needs within each District.

SportsEngine will also host live demonstrations and answer questions in person, at the Ontario Soccer Summit March 2, 2019, to assist all those Clubs and Academies who feel more comfortable learning in a classroom style setting.

Board approval was granted on June 9, 2018 to move to the SportsEngine Member Management System (MMRS) for Phase 2 of the three phase implementation plan. Effective for the Outdoor 2019 season and for all seasons thereafter, SportsEngine’s MMRS will be the official record of registration for Ontario Soccer.

In order to facilitate the smoothest transition possible to the new MMRS platform, two primary districts will commence the onboarding process and conduct live interaction with the new platform from November 2018 to January 2019.

Durham Region Soccer Association (DRSA) was selected for their high volume of current SportsEngine users and South West Region Soccer Association (SWRSA) was selected due to their representative spectrum of Clubs in relation to the user types across the province.

These two Districts have agreed to work closely with SportsEngine during the initial launch of the system with real-life scenarios and provide direct, frequent feedback on the product and user experience prior to the full transition to the new platform by all Clubs, Academies and Districts across Ontario.

SportsEngine Technical Staff will be working live with DRSA, SWRSA and their Clubs to monitor and support as needed during this initial onboarding of the MMRS platform.

To ensure that there are no gaps in service while the two Districts and their Clubs work in the new SportsEngine MMRS system from November 2018 to January 2019, the remaining 19 Districts will maintain their registration and competitive rostering needs in AIMS temporarily for their initial Outdoor 2019 data. This solution is only temporary to ensure that all Clubs and Districts have the tools they need to provide rosters and registration reports from November 2018 to January 2019 until we move all Districts, Clubs and Academies across the province to the SportsEngine MMRS for full Outdoor 2019 registration needs. 

There will be further communication from Ontario Soccer in coordination with SportsEngine and your District Associations with respect to the next steps in the transition timeline from AIMS to SportsEngine for Outdoor 2019 data.

Subsequent to the initial onboarding of Clubs within the two initial District Association; DRSA and SWRSA, slated to be completed in January 2019, all initial registration data for Outdoor 2019 that was entered in AIMS will be moved into the SportsEngine MMRS as everyone is transitioned to the new system.

For members of DRSA and SWRSA, a separate communication will follow shortly directly from SportsEngine.

All data for Indoor 2018/2019 will be entered or uploaded in AIMS by all Clubs, Districts and Academies as previously communicated.

Ontario Soccer would like to remind Clubs and Academies that the deadline to provision your organization on the new Sports Engine Member Management System(MMRS) is fast approaching.

The deadline to provision your organization’s information with SportsEngine’s

MMRS is Oct.1,2018. Organizations that have not provisioned with SportsEngine before Oct.1,2018 will be required to take additional steps to ensure their information is included in the MMRS.

SportsEngine’s MMRS will be the official record of registration for Ontario Soccer as the retirement of AIMS commences.

The official retirement of AIMS is effective at the end of the Indoor 2018-2019 season.

On June 9, 2018, upon positive review of beta test results and survey data, the Ontario Soccer Board of Directors approved the movement to Phase 2 of the three phase implementation plan for the new SportsEngine Member Management Registration System (MMRS).

The Board of Directors has approved, effective for the Outdoor 2019 season (for which registration can occur no earlier than October 1, 2018) and for all seasons thereafter, SportsEngine’s MMRS will be the official record of registration for Ontario Soccer.

This launch period also commences the retirement of AIMS which will be maintained for archival purposes only effective the Outdoor 2019 season. The official retirement of AIMS is effective at the end of the Indoor 2018 - 2019 season.
